To ensure fair, transparent, and timely consideration of funding requests, CECS student organizations requesting financial support should follow the guidelines below.
Timeline: Funding requests should be submitted well in advance of the planned activity. As a general guideline, requests should be submitted at least four (4) months before the conference, competition, event, or other activity requiring support. Late requests may not be considered.
Meeting Expectations: Organizations requesting support should schedule a meeting with the Office of Graduate Affairs. The organization’s faculty advisor must be included in the meeting and copied on all related communications.
Required Information: Requests should include the following information.
Organization Information
- Name of the student organization.
- Faculty advisor.
- Primary student contact.
Activity Information
- Description of the conference, competition, event, or program.
- Date and location.
- Number of CECS students expected to participate.
- Expected impact on students and the college.
Budget: Provide a concise budget that includes:
- Total projected cost.
- Itemized major expenses.
- Amount requested from CECS.
- Other confirmed or pending funding sources.
- Remaining funding gap.
Student Government Association (SGA) Support: Provide the following information regarding SGA funding:
- Amount requested from SGA.
- Amount awarded by SGA.
- Amount requested from SGA in the previous year.
- Amount awarded by SGA in the previous year.
- If funding changed significantly, provide any explanation available (e.g., campus-wide budget reductions, changes in programming, or other factors).
Additional Sponsors: Identify all other sources of financial support, including:
- College or department funding.
- External sponsors.
- Industry partners.
- Donations or fundraising.
Prior-Year Outcomes: For organizations requesting recurring support, include a brief summary (one paragraph) describing:
- Activities completed during the previous year.
- Student participation.
- How prior CECS funding was used.
Organizations are encouraged to seek support from multiple funding sources. CECS funding is intended to supplement, not necessarily replace, funding from SGA or other sponsors.
